Experience Manager

Serve as the on-site manager and concierge for Worklab’s Ada location, Ada’s premier meeting space located at 496 Ada Dr, Suite 201.
 
This key role ensures that every need is anticipated and met for both guests and members, and our space is always ready to exceed expectations.
 
The ideal candidate will be an extremely creative self-starter who is organized and has exceptional time management and organizational skills, with experience in both sales and hospitality.

SPECIFIC DUTIES
 
  • Ensure that Worklab is always ready to welcome guests and members every day  
    • Open Ada Worklab, occasionally work out of our downtown location
    • Set up and reset meeting rooms as needed
    • Manage the front desk (welcoming guests, answering phone, serving as a concierge, etc.) while also maintaining cleanliness of spaces throughout Ada Worklab
      • Café and Pantry
      • Copier Room
      • Open Workspace
  • Host meetings to align with established Worklab standards
    • Support finalizing meeting details and execution as instructed by Managing Director
      • Collect catering orders, place orders & set out catering day of event
      • Make sure rooms are fully stocked and set up with all details needed for a successful meeting
    • Welcome guests and assist with wayfinding
    • Ensure delivered catering is accurate and cleared from Cafe as needed
    • Send weekly meeting surveys and report out feedback
  • Support sales to high-level customers
    • Provide tours as needed as well as space and pricing details
    • Respond to all membership & meeting room inquiries
    • Create estimates/invoices for meeting room guests
    • Collect payment for all meetings
  • Manage on-site technology throughout the space
  • Serve as key support for members
    • Track monthly invoices / collect payment for misc. services as needed
    • Onboard new members, completing needed administrative tasks
    • Outboard members as needed
    • Assist with member’s needs as they arise
    • Host monthly member events
    • Update member bulletin board and member directory
  • Manage all inventory within established budget
  • Handle all ingoing and outgoing mail
  • Manage marketing efforts as directed by general manager – Mostly handled by Brand Manager. She may ask for pictures of Ada space from time to time to be sent her way for marketing content
    • Designs, builds, and maintains our social media presence
    • Brainstorms new and creative growth strategies through digital marketing
    • Ensure brand voice, tone, and identity are upheld and conveyed throughout digital and print marketing materials
    • Maintain digital performance reporting, while establishing a cadence of communicating digital performance to key stakeholders
    • Identify and create website blog content that is insightful and in tune with our audience and brand
    • Maintain content on our website and in local listings
    • Help plan and execute internal and external email newsletter campaigns.
    • Pull monthly metric reports and adjust efforts as needed
 
 
 

RECOMMENDED QUALIFICATIONS AND SKILLS

 
  1. College degree or college courses recommended
  2. Hospitality and marketing industry experience recommended
  3. Strong customer service orientation
  4. Strong attention to detail
  5. Excellent verbal communications skills along with strong interpersonal skills
  6. Self-directed individual with the ability to work independently, as well as part of a team
  7. Flexible and able to handle stress during peak workload times
  8. Ability to work more than the standard work day as needed for customers and projects
  9. Ability to effectively manage and execute multiple tasks simultaneously
  10. A keen affinity for proper grammar, syntax, usage, punctuation, spelling, capitalization, and other mechanics of editorial style
  11. Expertise with social media platform management – LinkedIn, Facebook, Instagram. Experience with scheduling and email marketing software a plus.
